A Travel Co. LLC's TERMS & CONDITIONS
The following are our TERMS & CONDITIONS:

  • Agency Disclosure and Limitation of Liability: A Travel Co. LLC acts solely as an intermediary between the traveler and third-party suppliers such as airlines, hotels, and tour operators. We do not directly provide travel services and assume no responsibility for the actions, omissions, or negligence of third-party suppliers. A Travel Co. LLC assumes no responsibility for additional expenses or losses incurred due to delays, cancellations, or changes caused by illness, weather, strikes, war, or other force majeure events. We reserve the right to adjust itineraries if deemed necessary. Quoted prices are accurate at the time of quotation and remain subject to change until the trip is paid in full.
     

  • Assumption of Risk and Waiver of Liability: THE TRAVELER VOLUNTARILY ASSUMES ALL RISKS ASSOCIATED WITH TRAVEL, WHETHER FORESEEN OR UNFORESEEN, INCLUDING RISKS RELATED TO ILLNESS, INJURY, DEATH, PROPERTY DAMAGE, AND ANY OTHER POTENTIAL HAZARD. THE TRAVELER HEREBY EXPRESSLY AGREES TO WAIVE ANY AND ALL CLAIMS AGAINST A TRAVEL CO. LLC ARISING FROM OR RELATED TO THESE RISKS, TO THE FULLEST EXTENT PERMITTED BY LAW. A TRAVEL CO. LLC HAS NO SPECIAL KNOWLEDGE REGARDING HEALTH HAZARDS, UNSAFE CONDITIONS, SECURITY RISKS, OR FINANCIAL INSTABILITY OF SUPPLIERS. FOR UPDATED HEALTH AND SAFETY INFORMATION, TRAVELERS ARE DIRECTED TO CONSULT OFFICIAL GOVERNMENT SOURCES, SUCH AS THE U.S. DEPARTMENT OF STATE TRAVEL ADVISORIES AND THE CENTERS FOR DISEASE CONTROL AND PREVENTION (CDC).
     

  • Health, Safety, and Travel Advisories: A Travel Co. LLC strongly recommends that all travelers monitor the U.S. Department of State Travel Advisories and other relevant government sources for health and safety information, as travel risks may change unexpectedly. Critical information regarding global health and safety conditions, as well as associated travel risks, is available on official government websites, including: TSA http://www.tsa.gov, DOT http://www.dot.gov, FAA http://www.faa.gov, CDC http://www.cdc.gov, CBP http://www.cbp.gov and State Department http://www.state.gov.

    • We strongly encourage travelers to enroll in the Smart Traveler Enrollment Program (STEP), a free service provided by the U.S. Government, available at https://step.state.gov/step/. Registering your trip enables the Department of State to provide better assistance during emergencies abroad.
    • A Travel Co. LLC does not guarantee the advisability or absolute safety of travel to any specific destination. Travelers are responsible for assessing the safety of their destination before booking and should rely on official government advisories. We disclaim responsibility for any costs, damages, or losses resulting from travel to these destinations. By participating in the travel arrangements, clients acknowledge, understand, and voluntarily accept all associated risks at their own sole discretion.
       

  • Health, Immunizations, and Inoculations: Prior to traveling, it is essential to ensure that you have received all necessary immunizations and health screenings and that you possess the required documentation to validate these. A Travel Co. LLC does not assume responsibility for the accuracy of health, vaccination status, or documentation prior to departure or upon arrival at the final destination. In certain cases, your healthcare provider may need to record required inoculations on an official vaccination certificate, which you must carry as proof of immunization. If you have any concerns regarding medication or specific inoculations, it is advisable to consult with your healthcare provider BEFORE making travel arrangements. For pertinent information regarding travel to specific destinations, please refer to the State
    Department website, and for health-related matters concerning travel, visit the Center for Disease Control and Prevention (CDC).

     

  • Aviation Notices (Hazardous Materials and Insecticide):

    • Hazardous Materials Prohibition: Passengers are strictly prohibited by federal law from bringing hazardous materials onto aircraft. Violation of this law can result in severe penalties, including imprisonment for up to five years and fines exceeding $250,000 (49 U.S.C. 5124). Hazardous materials encompass explosives, compressed gases, flammable liquids and solids, oxidizers, poisons, corrosives, and radioactive materials. Examples include paints, lighter fluid, fireworks, tear gases, oxygen bottles, and radiopharmaceuticals. Limited exceptions apply for small quantities of medicinal and toiletry items (up to 70 ounces total) in passenger luggage, as well as certain smoking materials carried on the passenger's person. Passengers should consult the relevant airline representatives on their itinerary for further information.     • Aircraft Disinsection (Insecticide Notice): It is advisable to consult the list of airports provided by the Department of Transportation (DOT) which outlines the countries where airlines are required to apply insecticides in the passenger cabin either before the flight or during the aircraft's operation. This list is updated periodically and can be accessed at the DOT's official website: http://www.dot.gov/office-policy/aviation-policy/aircraft-disinsection-requirements.
       

  • Health, Mobility, and Special Needs Disclosure: Clients are responsible for informing A Travel Co. LLC of any health conditions, mobility limitations, dietary restrictions, or other special needs that may affect their participation in a trip. This information should be provided at the time of booking or as soon as possible thereafter. Disclosure allows A Travel Co. LLC to make reasonable accommodations and ensure a safe and enjoyable travel experience. Clients acknowledge that failure to provide accurate or complete information may limit the services or accommodations that can be provided and may increase the risk of injury, illness, or other complications, for which the client assumes full responsibility. Confidentiality: All health and mobility information provided will be treated as confidential and used solely to facilitate appropriate accommodations during the trip.
     

  • Travel Documentation and Identification Requirements: Clients bear sole responsibility for obtaining and carrying valid passports, visas, and all other required travel documents in accordance with government regulations.

    • TSA and DHS Acceptable Identification:  The U.S. Transportation Security Administration (TSA) and U.S. Department of Homeland Security (DHS) mandate that all travelers, both domestic and international, carry acceptable identification for boarding flights. Examples of compliant identification, such as a DHS-designated enhanced driver's license, passport, or foreign government passport, can be found on the official TSA website.
       
  • International Travel Identification Requirements: A valid U.S. Passport is required for all international travel. Many countries require that a traveler's passport be valid for a minimum of six (6) months beyond the completion date of the trip and have at least two (2) or more blank pages. U.S. citizens traveling outside the U.S. are required to have a compliant U.S. passport that meets these requirements. 

    • Each traveler is responsible for providing accurate information at the time of booking. The name provided must match exactly the name (first, middle, and last) as it appears on your official, government-issued passport or identification. Nicknames are not permitted unless they are your legal name listed on the official document.
    • Please be advised - Name Accuracy and Denied Boarding: It is essential that the information on your identification card, including your full legal name, date of birth, and gender, precisely matches the information on your airline tickets and booking records. Travel vendors, specifically airlines, strictly prohibit name changes once a booking is confirmed. Therefore, providing accurate information at the time of booking is critical. Any discrepancies may require the purchase of a new ticket or service at the traveler's expense, resulting in the forfeiture of the original cost of the service. Failure to comply with identification requirements may result in denied boarding or delays at security checkpoints, which may cause clients to miss their flights and subsequent travel bookings for cruises and tours.

    • Travelers are solely responsible for verifying the specific entry requirements for their destination(s) and any transit points (including minimum passport validity and the number of blank pages) on the official U.S. Department of State website or by contacting the destination country's embassy or consulate. Requirements are dynamic and subject to change at any time. The traveler is responsible for obtaining any required additional visas or travel documents and presenting them at the time of departure. For non-U.S. citizens, please refer to your consulate for international travel requirements.

      • Document Verification Responsibility: Upon receiving your travel documents and itinerary, it is your responsibility to carefully review and verify all information for accuracy. If any changes or corrections are needed, contact A Travel Co. LLC immediately.
    • The traveler bears sole responsibility for providing correct documentation, and failure to do so may result in being denied boarding for the flight. Please note that significant cancellation and/or change fees will apply for rescheduling travel arrangements because of denied boarding situations.

    • Minors Traveling Internationally: Travel documents are required for children and infants. If a minor is traveling with only one parent or without both parents, they may be stopped and denied entry unless authenticated and verified consent forms are provided to the authorities. For detailed guidelines, please refer to U.S. Customs and Border Protection.
       

  • Domestic Travel Identification Requirements: Passengers aged 18 years or older must present valid identification at check-in and prior to boarding the flight. AS OF MAY 7, 2025, THE TRANSPORTATION SECURITY ADMINISTRATION (TSA) REQUIRES ALL PASSENGERS AGED 18 AND OLDER TO PRESENT A REAL ID-COMPLIANT DRIVER'S LICENSE OR ANOTHER ACCEPTABLE FORM OF IDENTIFICATION (E.G., A U.S. PASSPORT OR PASSPORT CARD) FOR DOMESTIC FLIGHTS. A non-compliant ID (which often says "Not for Federal Purposes") is no longer accepted as primary identification. Failure to present proper, compliant identification can result in denied boarding and ticket cancellation fees may apply. It is the traveler's responsibility to provide the correct documents, and failure to do so may result in being denied boarding for the flight. Please note, cancellation and/or change fees will apply for rescheduling travel arrangements because of denied boarding situations. Travelers can verify accepted IDs on the official TSA website.

    • Name Accuracy and Denied Boarding: It is essential that the information on your identification card, including your full legal name, date of birth, and gender, precisely matches the information on your airline tickets and booking records. Any discrepancies may require the purchase of a new ticket or service at the traveler's expense, resulting in the forfeiture of the original cost of the service. Failure to comply with identification requirements may result in denied boarding or delays at security checkpoints, which may cause clients to miss their flights and subsequent travel bookings for cruises and tours.
  • Air Travel Policies: Flight details and departure times are determined solely by the airlines and are subject to change outside the control of A Travel Co. LLC. It is the traveler’s responsibility to check in online 24 hours in advance of departure and reconfirm all gates, times, and seat assignments. For international flights, details should be reconfirmed directly with the operating airline. While seat assignments are requested during booking when possible, they are subject to availability and airline modification without prior notice. Many airlines impose additional fees for advanced or preferred seat assignments. These charges are not included in A Travel Co. LLC quotes and represent an additional cost to the traveler if chosen. If seat assignments are listed as "airport check-in only," the customer must confirm seating directly with the airline at the airport. Required airport check-in times vary by airport and departure city; the traveler is responsible for verifying these requirements. Each airline enforces specific baggage fee structures, requirements, and limitations. Such fees are not included in the price of airline tickets or packages and will be collected by the airline directly at check-in. Travelers should consult the specific airline for baggage information.
     

  • Unused Reservations, Minimums, and Booking Modifications: Unused travel components are universally non-refundable, as pricing is predicated on specific supplier contract rates. Certain group tours may be subject to minimum passenger requirements; failure to meet this threshold could result in the application of a surcharge or the cancellation of the tour by the supplier. Requests for modifications to confirmed travel arrangements must be submitted to A Travel Co. LLC in writing. Please be aware that certain booking types (e.g., non-refundable airfares) may be ineligible for any changes. Furthermore, the supplier maintains the exclusive authority to implement itinerary alterations, including those necessitated by severe weather or operational requirements, without A Travel Co. LLC assuming any liability for such changes.
     

  • Right to Correct Errors and Offers Subject to Availability: A Travel Co. LLC explicitly retains the right to rectify any administrative, pricing, or informational errors. In the event of pricing errors or omissions, we reserve the right to adjust prices or make necessary corrections as required. All travel offers, incentives, and promotions are extended by third-party suppliers, remain strictly subject to availability, and may be modified or withdrawn without prior notice. We strongly recommend that clients finalize their reservations early to secure desired pricing and availability, and to avoid potential fare increases or additional fees associated with late bookings.
     

  • Changes and Cancellations: Cancellation, revision, and refund policies for changes or unused travel components are subject to the specific policies of each individual supplier. Cancellation penalties may range up to 100% of the total cost, depending on the proximity of the departure date when written notification is received. Airfare, insurance premiums, and "no-shows" are universally non-refundable. The specific change and cancellation schedule for your booking can be found on your itinerary. Travelers are strongly encouraged to review the cancellation and change policies of all suppliers before confirming bookings. For confirmation of specific cancellation and change penalties applicable to your reservation, please contact A Travel Co. LLC directly.
     

  • Individual Entry and Exit Requirements: Different countries hold varying perspectives on past criminal offenses, whether committed domestically or abroad. If you have a current or previous criminal offense, it is advisable to directly contact the respective country’s embassy or consulate for information on entry and exit requirements. For detailed requirements, you can refer to the U.S. State Department website.

  • Force Majeure Clause: A Travel Co. LLC is excused from liability for non-performance caused by events beyond its reasonable control, including but not limited to Acts of God, war, pandemics, and natural disasters. In such cases, we will assist travelers in seeking reimbursement from suppliers, but cannot guarantee any refund or compensation. A Travel Co. LLC strongly recommends that all clients purchase travel insurance. Supplier force majeure terms govern service provision during such events, allowing them discretionary modification or cancellation rights. Supplier policies dictate refund decisions in these scenarios; A Travel Co. LLC will offer reasonable assistance in seeking reimbursement without assuming liability for supplier determinations.

  • Travel Insurance: A Critical Investment: A Travel Co. LLC strongly recommends purchasing comprehensive travel insurance to protect against unforeseen events, such as trip cancellations, medical emergencies, or lost baggage. Travelers are encouraged to carefully review insurance policies before purchasing. These events can include, but are not limited to, trip cancellation (the most common claim type), missed connections, lost or delayed baggage, medical emergencies, and even emergency medical evacuation, which can exceed $10,000 in average payout. Without adequate travel insurance, you are personally assuming 100% of the financial risk for any cancellation penalties, out-of-pocket expenses, or emergency costs incurred. The average travel insurance claim payout often exceeds the policy cost by several times, demonstrating its critical value when the unexpected happens. The acquisition of travel insurance is not mandatory for all services; however, clients who decline coverage will be required to sign a waiver acknowledging that they accept full responsibility for any costs incurred due to cancellations, delays, or emergencies. A Travel Co. LLC is not a licensed insurance broker. Our agents are not authorized to address technical insurance inquiries, interpret policy details, or evaluate existing coverage adequacy. We will quote travel insurance premiums based on your specific trip cost, trip length, and the age of the travelers. Selection of insurance incurs additional fees. We make no guarantees regarding claim approvals or the scope of coverage provided by any policy offered or quoted. Please note: premiums collected for travel insurance are non-refundable in the event of a cancellation. Please refer to our dedicated Travel Insurance Protection Plan section for further details, and feel free to contact us to discuss the coverage options that are right for you.
     

  • Payments and Financial Responsibility: You, the user (minimum 18 years of age with legal authority to enter this Agreement), are solely responsible for all charges, fees, duties, taxes, and assessments associated with your travel bookings processed through A Travel Co. LLC. You accept complete financial liability for all bookings made for yourself and your traveling companions, guaranteeing the accuracy of all provided data. You covenant to utilize A Travel Co. LLC and its Suppliers solely for legitimate transactions, strictly prohibiting any speculative or fraudulent activity.

    • Payment Submission and Schedules: The lead passenger is responsible for ensuring all reservation payments are submitted on time. All travel payments must be finalized prior to departure, adhering strictly to the terms and conditions specified by each respective Supplier.
    • Credit Card Authorization and Chargebacks: By submitting a credit card authorization form or making any payment, you grant explicit permission for A Travel Co. LLC to utilize your chosen payment method to purchase travel products from our Suppliers on your behalf. Unless cases of proven fraud are involved, you agree to refrain from initiating any disputes (chargebacks) with your bank or credit card company to circumvent or violate the booking terms and conditions set by A Travel Co. LLC or its Suppliers. This includes cancellations or changes due to circumstances beyond our control or that of our Suppliers (Force Majeure events). If you attempt to chargeback, reverse, or reclaim a previously authorized payment, A Travel Co. LLC reserves the right to recover all additional costs, fees, and expenses associated with such actions, including reasonable attorney fees.

    • Consequences of Non-Payment, Changes, and Cancellations: Failure to remit final payment or any violation of a Supplier's purchasing conditions may result in the immediate cancellation of your reservations, denial of access to travel services, or the forfeiture of any funds already paid. A Travel Co. LLC accepts no responsibility for reservation cancellations or rate changes resulting from late payments. By submitting payment for your booking, you confirm that you have verified the accuracy of your entire itinerary (including, but not limited to, name spelling as it appears on passports/government-issued documents, travel dates/times, and accommodations). You acknowledge that your reservation is non-refundable by default and nontransferable, subject only to specific supplier terms you have reviewed. If you make changes or cancel your travel plans after receiving booking confirmation, cancellation penalties from A Travel Co. LLC and third-party Suppliers will apply accordingly. All cancellation requests must be submitted in writing to A Travel Co. LLC. These fees will be charged to the original payment method or deducted from any potential Supplier refund.

      • A Travel Co. LLC imposes the following administrative cancellation fees in USD: $100 per person for all trips valued under $5,000; $150 per person for trips exceeding $5,000.
      • Acceptance of Supplier Terms: Our role at A Travel Co. LLC is to facilitate bookings with the independent travel Suppliers indicated in your travel plan. Each Supplier imposes its own non-negotiable terms, conditions, and waivers of liability. Your use of our services and submission of payment confirms your acceptance of, and compliance with, all such Supplier rules and regulations applicable to your reservation and travel services.

  • Binding Effect on all Travelers:  The lead passenger is responsible for ensuring that all members of their travel party, including minors, are informed of and agree to these Terms and Conditions.
     

  • Special Requests: A Travel Co. LLC cannot guarantee the fulfillment of special requests, which encompass (without limitation) specific bedding configurations, seat assignments, smoking preferences, car types, or room locations.
     

  • GOVERNING LAW AND DISPUTE RESOLUTION. THIS AGREEMENT SHALL BE GOVERNED BY AND CONSTRUED IN ACCORDANCE WITH THE LAWS OF THE STATE OF ARKANSAS, WITHOUT REGARD TO ITS CONFLICT-OF-LAW PRINCIPLES. ANY DISPUTE, CLAIM, OR CONTROVERSY ARISING OUT OF OR RELATING TO THIS AGREEMENT OR THE SERVICES PROVIDED SHALL BE RESOLVED BY BINDING ARBITRATION ADMINISTERED BY THE AMERICAN ARBITRATION ASSOCIATION (“AAA”) IN ACCORDANCE WITH THE AAA CONSUMER ARBITRATION RULES THEN IN EFFECT. THE ARBITRATION SHALL TAKE PLACE IN SEBASTIAN COUNTY, ARKANSAS, UNLESS THE PARTIES MUTUALLY AGREE OTHERWISE. ARBITRATION SHALL BE CONDUCTED ON AN INDIVIDUAL BASIS ONLY. THE PARTIES KNOWINGLY AND VOLUNTARILY WAIVE THE RIGHT TO A TRIAL BY JURY. JUDGMENT ON THE ARBITRATION AWARD MAY BE ENTERED IN ANY COURT OF COMPETENT JURISDICTION.
     

  • THESE TERMS AND CONDITIONS CONSTITUTE THE ENTIRE AGREEMENT BETWEEN THE CLIENT AND A TRAVEL CO. LLC WITH RESPECT TO ALL TRAVEL BOOKINGS AND SERVICES AND SUPERSEDE ALL PRIOR OR CONTEMPORANEOUS AGREEMENTS, NEGOTIATIONS, OR REPRESENTATIONS, WHETHER ORAL OR WRITTEN. THIS AGREEMENT REFLECTS THE COMPLETE AND EXCLUSIVE STATEMENT OF THE UNDERSTANDING BETWEEN THE PARTIES. A PRINTED COPY OF THIS AGREEMENT, OR ANY ELECTRONIC NOTICE, CONFIRMATION, OR RECORD RELATING TO THIS AGREEMENT, SHALL BE ADMISSIBLE IN ANY LEGAL OR ADMINISTRATIVE PROCEEDING TO THE SAME EXTENT AND UNDER THE SAME CONDITIONS AS OTHER BUSINESS RECORDS ORIGINALLY CREATED AND MAINTAINED IN PRINTED FORM.
     

  • LIMITATION OF LIABILITY/RECOVERY: A Travel Co. LLC's sole compensation derives from commissions and fees. You agree that any recovery from A Travel Co. LLC is capped at, and limited exclusively to, the amount of said commissions and fees actually received by A Travel Co. LLC.
